We are seeking an experienced and detail-oriented Diamond Office Manager to oversee the daily operations of our diamond trading office. The ideal candidate will have a solid background in the diamond industry, including expertise in grading, certification, export documentation, and inventory management. This role requires independent handling of administrative, sales coordination, and compliance tasks while ensuring smooth workflow and client satisfaction.
Key Responsibilities
• Manage day-to-day office operations, ensuring efficient workflow and record-keeping.
• Maintain accurate diamond inventory records, tracking inward/outward movements, weights, quality, and certifications.
• Prepare and manage export documentation, including invoices, packing lists, and shipping labels.
• Coordinate with shipping partners (FedEx, Malca-Amit, Brinks, etc.) and ensure compliance with customs and trade regulations.
• Support sales coordination by sharing diamond details, pricing, certifications, and following up with domestic and international clients.
• Assist in preparing quotations, tracking client leads, and maintaining CRM/database.
• Generate daily/weekly reports on inventory, sales, and shipments for management review.
• Communicate professionally with clients, vendors, and internal teams via email, WhatsApp, and phone.

Skill Requirement
Qualifications & Experience
We are looking for a candidate with 2–3 years of experience in the diamond industry, strong organizational skills, and a good understanding of diamond grading, certification, and export procedures.
Required Skills & Experience
• Minimum 2–3 years of experience in a diamond office, trading, or manufacturing environment.
• Knowledge of diamond grading, 4Cs, certification (GIA/IGI), and basic pricing concepts.
• Experience with export documentation, shipping coordination, and customs compliance.
• Proficiency in Microsoft Excel/Google Sheets and familiarity with inventory management systems.
• Strong organizational, communication, and multitasking abilities.
• Ability to work independently with attention to detail.
Preferred Qualifications
• Graduate degree, preferably in Commerce or a related field.
• Knowledge of RAPNET, ERP, or diamond inventory software.
• Basic sales or client coordination experience.
• Proficiency in spoken and written English.
