Primary Responsibilities

As an Executive Assistant at GitLab, you will provide comprehensive structural and logistical leverage to three key executives: the VP of Business Systems, the VP of Support, and the VP of Data.

  • Calendar & Schedule Optimization: Actively vet requests, resolve shifting schedule conflicts, recommend critical tradeoffs, and safeguard focus blocks in accordance with GitLabโ€™s meeting norms.
  • Strategic Prep & Synthesis: Construct complete, context-driven agendas from high-level summaries and linked assets to optimize leadership decision-making.
  • Operational Tracking & Communication: Maintain seamless operational cadences across direct reports and functional partners, proactively flagging priorities or dependencies for leadership review.
  • Logistics & Expense Execution: Coordinate detailed global travel plans (including flights, lodging, visas, and documentation) and ensure prompt, compliant processing of monthly expense workflows.
  • Cross-Functional Alliance: Collaborate with People Operations, IT, Security, and Recruiting teams to synchronize interview loops, team onsites, and cross-regional coverage.

Required Qualifications

To qualify for this position, applicants must demonstrate a proven track record of managing complex calendars and fluid operational streams for senior leadership. Candidates must have dedicated experience navigating within a fast-changing technology sector, accompanied by a sharp ability to handle sensitive and confidential data with total discretion.

Preferred Skills & Core Competencies

Success in this role demands exceptional written and verbal English communication skills, as well as total comfort operating in an autonomous, all-remote corporate ecosystem. Proficiency with fundamental digital toolsets like Google Workspace, Slack, Zoom, and Navan is highly valued. Most importantly, candidates must excel at synthesizing scattered information into streamlined, actionable leadership trackers.
