Front Office Assistant (Remote)

We are searching for an empathetic, organized, and reliable individual to act as our primary point of contact for clients, managing essential daily functions from the comfort of a dedicated home office.


Job Overview

  • Position Title: Front Office Assistant
  • Company: OPAL Institute
  • Location: Remote (Preference given to Portland, OR metro areas like West Linn, Lake Oswego, Wilsonville, Tualatin, and Sherwood)
  • Schedule: Part-Time (Approx. 2โ€“3 hours per day, Monday to Friday)
  • Compensation: $20.00 โ€“ $24.00 per hour (Based on experience, qualifications, and performance)

Primary Responsibilities

  • Manage and process multi-line phone calls, answering prospective client inquiries with warmth and professionalism.
  • Seamlessly handle calendar management, coordinating and booking patient appointments across the practitioner team.
  • Collect, organize, and verify vital confidential client medical insurance information.
  • Maintain complete data integrity by scanning, indexing, and organizing electronic health records and confidential practice documentation.
  • Coordinate clear internal communication among team members to solve administrative roadblocks.

Eligibility Criteria

To excel in this role, applicants must demonstrate a baseline of administrative competency. Candidates are required to hold prior professional experience in a customer service, administrative assistant, or medical office capacity. Technical proficiency is mandatory; you must demonstrate strong computer skills and everyday familiarity with both Google Workspace and Microsoft Office tools.

Beyond core operational capacities, the ideal team member possesses several softer skills. You should be someone who genuinely enjoys communicating with people, exhibits independent time management, and learns modern technology platforms rapidly. Because you will be reviewing sensitive demographic data, you must be comfortable managing confidential private records and pass a mandatory background check and drug screening.
