Primary Responsibilities

  • Own the end-to-end client journey, from digital onboarding to coordinating advanced diagnostic testing.
  • Manage complex scheduling, ensure labs and imaging centers receive clear instructions, and track results meticulously.
  • Prepare physicians for virtual visits by compiling comprehensive pre-visit packages and dashboards.
  • Serve as the primary point of contact, ensuring a warm, polished, and efficient experience for executive-level clients.
  • Optimize internal workflows, troubleshoot technical hurdles, and leverage AI tools to keep our practice running flawlessly.

Eligibility Criteria: Required Qualifications

The ideal candidate must be exceptionally tech-savvyโ€”you are the go-to person for troubleshooting and can master new software in hours. You should possess at least 2+ years of experience in client services, medical office coordination, concierge, or high-touch executive assistant roles. Exceptional organizational skills and a “zero-loop-hole” approach to follow-through are non-negotiable for this position.


Eligibility Criteria: Preferred Qualifications

While no clinical certification is required, familiarity with medical terminology, HIPAA awareness, and working with labs or imaging centers is a significant plus. Experience with Practice Better, advanced diagnostics (like whole-body MRI or DNA methylation), and building automated workflows (Zapier/Make) will set your application apart. Bilingual candidates (English/Spanish) are encouraged to apply.
