Oregon Charter Academy (ORCA) is actively seeking a dedicated and organized Administrative Assistant II – K-12 to support our growing virtual public school infrastructure. Operating successfully since 2005 and accredited through Cognia, our mission-driven institution focuses on delivering personalized, 21st-century education to students across Oregon. This particular position bridges the gap between digital efficiency and physical community presence, offering a unique professional setup.

The ideal candidate will split their week dynamically, operating out of our professional satellite office in Wilsonville, Oregon, while enjoying the flexibility of working from home two days a week. As a crucial member of our classified staff reporting directly to the Wilsonville Office Manager, you will keep daily school operations running seamlessly. From managing essential student data to greeting community stakeholders, your daily efforts will directly impact the educational journeys of K-12 students statewide.

Primary Responsibilities

  • System Administration: Accurately enter and update vital records within our online student information system.
  • Administrative Support: Assist K-12 Administrators with student course placement, club organization, attendance tracking, and building the annual course catalog.
  • Public Relations & Reception: Greet and support staff, families, and campus visitors warmly in person and over the phone, routing inquiries with professional priority.
  • Program Assistance: Manage key clerical tasks for major school milestones, including the student of the month recognition and the formal graduation program.
  • Compliance & Culture: Execute all daily school office operations strictly within FERPA regulations while modeling a collaborative, respectful workplace.

Eligibility Criteria

To ensure immediate success within this fast-paced educational setting, applicants must possess a foundational baseline of administrative skills. A High School Diploma is strictly required for this classified staff bracket, alongside exceptional oral and written communication skills. Candidates must demonstrate high flexibility, top-tier time management, and complete dependability to handle shifting school priorities.

Furthermore, applicants should feel entirely comfortable working in a hybrid ecosystem. This balance requires the ability to commute regularly to the physical Wilsonville office alongside the self-starting discipline required to work productively from home. Occasional travel across the state for required All-Staff events, milestone meetings, and school board workshops is also mandatory.

While not explicitly mandatory, a Bachelor’s Degree is highly preferred to make your application stand out. Preference will be given to candidates who boast direct, prior experience working as a school administrative assistant. Technical proficiency with specialized software platformsโ€”specifically PowerSchool SIS, Google Suite, Adobe PDF, and Canvaโ€”will give applicants a highly competitive edge.
