Job Overview

  • Position: Medical Office Coordinator
  • Employment Type: Full-time (80 hours / Bi-weekly)
  • Compensation: $18.00 – $20.00 an hour
  • Location: 100 River Street, Springfield, VT 05156

Primary Responsibilities

  • Patient Registration & Front-End Care: Greet patients warmly in person and manage checkout processes, collect co-pays, reconcile daily payments, and update essential demographic and FQHC data.
  • Communications Management: Promptly handle incoming telephone calls, manage electronic patient portals, review voicemails, and route clinical messages appropriately according to standard policies.
  • Schedule Optimization: Book and manage patient appointments following specific office workflows while proactively organizing waitlists and automated reminders.
  • Information Compliance: Safeguard data integrity by scanning insurance documentation and completing Protected Health Information (PHI) requests strictly in accordance with HIPAA regulations.

Eligibility Criteria

To ensure success in this dynamic medical administrative role, candidates are expected to bring the following foundational background:

A High School diploma or equivalent is required for entry into this position. Preference will be given to candidates who possess previous administrative experience within a high-volume customer service or fast-paced healthcare environment.

An ideal applicant demonstrates a clear, baseline understanding of medical terminology alongside a practical grasp of patient privacy laws. Furthermore, because you are the front face of our practice, you must exhibit meticulous attention to detail, exceptional multitasking skills, and a proven ability to de-escalate difficult situations with emotional maturity and composure.
